Privacy Policy

This Privacy Policy explains how HaKi Energy Systems LLC ("HaKi", "we", "us") collects and uses information through HaKi Check-In at hakicheckin.com (the "Service"), a check-in app that helps coaches understand how their athletes are showing up before practices and games.

Information we collect

• Account information: name, email address, mobile phone number, birthdate (for athletes), and profile photo.
• Team information: the organizations and teams you belong to and your role (for example coach, athlete or parent).
• Check-ins: the 1–10 energy scores you submit, optional notes, and whether you asked to talk with your coach.
• Coach ratings: if a coach turns them on, the coach's rating of how an athlete performed compared with their check-in.
• Messaging records: your text-message consent, opt-outs, and a log of messages we send you.
• Technical information: basic device, browser and log data needed to run and secure the Service.

How we use information

• To run the Service: sign you in, connect you to your team, collect check-ins, and show scores and trends to the people allowed to see them.
• To send you messages you signed up for: team invitations by email; sign-in codes by email or text; and, if you opt in to texts, check-in reminders and (for coaches) low-energy alerts and post-practice rating reminders.
• To bill the organization or coach that purchased the Service.
• To keep the Service secure, fix problems and improve it.

Who can see your information

• Coaches see the individual check-ins of athletes on their team. For athletes under 18, coaches see individual scores only after a parent or guardian approves.
• Athletes see their own check-ins and their team's overall averages, never a teammate's individual score.
• Parents and guardians see their own child's scores and team averages.
• School, district and organization administrators see team-level averages and usage, not individual athletes' scores.
• Service providers that host and operate the Service for us (such as hosting, database, email and text-message delivery), only as needed to provide it.

Text messages (SMS)

HaKi Check-In text messages are sent by HaKi Energy Systems LLC only to people who opt in by checking the text-message box on hakicheckin.com. We use your mobile number only to send the messages described when you opted in: one-time sign-in codes when you sign in with your mobile number; check-in reminders when your team's pre-practice or pre-game check-in opens and 5 minutes before it closes; and, for coaches, alerts when an athlete on their team checks in with very low energy or asks to talk, plus a reminder after practice to rate the session. Message frequency varies, typically 2–3 messages per practice or game. Message and data rates may apply. Reply STOP to any message to opt out, or HELP for help.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text-message originator opt-in data and consent are excluded from every other category of sharing in this policy and will not be shared with any third parties. We do not sell mobile numbers. The only companies that handle your number are the providers that deliver our messages for us.

Children

Athletes under 18 join through their team. When an athlete under 18 joins, we invite a parent or guardian, who can approve or withdraw sharing of their child's scores with coaches at any time. We do not knowingly allow children under 13 to use the Service without a parent's or school's permission.

Keeping and deleting information

We keep information while your account or your organization's subscription is active. When you ask us to delete your account, or when the organization that purchased the Service cancels, we delete the related data. Email ben@hakienergy.com to request access to or deletion of your information.

Security

We protect data with encryption in transit, access controls that limit who can see each piece of information, and audit logs of administrative access.
